Project management methodologies, whether traditional like the waterfall technique or agile like scrum, have one inevitable and common function — communication. Clear communication and understanding of processes or plans are essential for a successful project. You can communicate the agenda via email, spreadsheets, project management tools, and more. If you have multiple projects at hand, you require something substantial and valuable for an efficient implementation of project processes.

Enter Scrum Meetings!

Meetings help catch up on the backlogs and adapt quickly to changes in strategy, especially in iterative and agile project management practices like scrum.

Types of Scrum Meetings

These are rendezvous points in a scrum planning roadmap where developers, scrum masters, product owners, and stakeholders meet to discuss projects’ status, analyze product development, and outline further execution plans or sprints. Four types of scrum meetings help in developing a successful project. These are

1. Sprint planning: These meetings are held at the beginning of an agile sprint to discuss product and sprint backlog and set goals for the sprint. All team members — developers, scrum master(s), and product owners participate in these meetings to examine the scope and execution plan of the upcoming sprint.

Sprint planning aims to assign roles and responsibilities to each team member and mark the beginning of the next sprint. These meetings take (usually) two hours to finish.

2. Daily scrum: These are also known as daily standup meetings, and most teams prefer to conduct these meetings at the beginning of the work day. Daily scrum meetings are the shortest (15-20 mins) but the most impactful or important ones. They keep the team members aligned with client goals.

Each active performing team member provides an update on what he/she completed yesterday, what are today’s tasks and whether there is any problem/feedback/help. These meetings are primarily for the internal team, and only developers and scum masters participate.

Note: These meetings are not to track team members’ progress but to set daily goals and analyze potential bottlenecks.

3. Sprint Review: These meetings are held at the end of every sprint and are used to review the work completed. The developers demonstrate the finished work to the product owner; therefore, these meetings are also called “sprint demos.”

In these meetings, clients check whether the product development is as per expectations, previously given feedback is applied, and provide feedback for further product improvements. This meeting takes about an hour to complete.

4. Sprint Retrospective: Consider this meeting a mini version of the product retrospective meeting. This meeting is also an internal meeting between the scrum master and the development team. The agenda here is to analyze the achievements and mistakes of the previous sprint and document them to use or improve in the next agile sprint or project. This meeting usually takes 45-60 minutes to complete.

Tip: For this meeting to be fruitful, team members must adopt a constructive criticism/feedback approach and not blame each other for project gaps, if any.

Whatever the type of scrum meeting, you must plan and prepare to present your part in an understandable manner. A scrum roadmap, board, timelines, and progress reports will help you communicate effectively. These valuable additions will help the team visualize the work and track progress.
