Reduced cost, minimum waste, less throughput time, maximum output, unlimited flexibility, and high rates of customer satisfaction — terms that make a businessperson’s mind go cha-ching!!

But, this is what “Lean” transformation is all about.

The ability to create insanely great products as proposed by Steve Jobs especially at a very low cost - who wouldn’t like it? In fact, creating products and offering them at competitive prices has become a matter of life and death for every organization in the market today. To survive, they need a robust innovation plan with simplified processes and high-quality output. And this is where lean practices come in handy.

What is “Lean”?

If you haven’t been living under a rock, then you must be familiar with the word “lean”. Simply put, it is a philosophy or mindset that revolves around cutting unnecessary tasks, eliminating waste, and continuously improving the processes to deliver more from less. This approach works very well for the production of goods and services but its success has made many companies co-opt it for their continuous improvement.

The story behind getting “Lean” and its principles

“Lean” started with Toyota and became a powerful tool for recovering from the ravages of World War II when all the companies were in a state of crisis. Since the effects of the war were dramatic, the development and adoption of “lean” brought a remarkable turn of events for Toyota, and this progress was noticed by the entire world. This led to a search drive aimed at cracking the code of Toyota’s success which put forth the concept of lean and its capstone formula - determine the value, map value stream, create a flow, establish the pull, and seek ultimate perfection!

Principles of Lean Management

Lean thinking started with the manufacturing industry but, fortunately, it is no longer limited to it because of its huge success rate. It serves other industries very well including technology, healthcare, construction, etc. One can  maximize value by minimizing waste with these 7 principles as identified by Mary and Tom Poppendieck in their book “Lean Software Development”:

1. Eliminate waste

Waste is anything that doesn’t have a business value and doesn’t help in improving the process of speed up its operations. In other words, anything that is not profitable but requires some capital investment can be treated as waste for it brings about an additional cost. For example, unused code is not beneficial for the company or the customer but it does require discussion, document integration, decision-making, and testing, hence it should be eliminated.

2. Amplify the learning process

The development of a valued business system requires a lot of skills and expertise. The team has to accumulate a lot of information and indulge in recurring knowledge-sharing activities for the system to work well. Therefore, this principle encourages “lean” members to provide an effective structure to document and retain valuable learning. For example, understanding the needs of the business user, rather than dwelling on the insights of the developer.

3. Build quality in

Every team member wants to present high-quality work. But, unless there is a guiding principle, it is easier said than done. In the quest of maintaining quality, some teams actually create waste, which has a negative impact. Therefore, our focus should be on identifying the problem and eliminating its causes directly when it starts appearing. The idea here is to keep improving the development process so as to stop the occurrence of the diffusing effects in the first place.

4. Decide late

The main idea of this principle is to wait till the last moment to make decisions, especially irreversible ones. This is important while taking significant business decisions that might hurt the overall functioning and operations. They should also be supported with analytical data, as they are impossible to redo later.

5. Deliver fast

A majority of lean and agile methodologies are focused on delivering faster results. This principle recommends lean members to keep the batch size of activities small and show faster groundwork to the customers. For instance - keep progress inventory to the lowest possible in order to meet targets. This approach is not that practical when it comes to individual processes, however business development processes can definitely benefit from it.

6. Empower Team

Developing a system requires mental work, so it is important to treat the lean members well. Consider them as motivated and hard-working individuals with a lot of skills and experience to carry on the tasks. It is also important to create an environment where different lean members can come together and focus on the current business task. Having trust in your team and respecting their decisions is the main idea of this principle.

7. Optimize the whole

The best way to solve a problem is to segregate and divide it into small chunks and eliminate its causes as you go along. But, this can be done only after analyzing the root cause of the issue, which the team members should identify. The principle mainly focuses on optimizing the entire chain to create value. Instead of brooding over time, it is important to shift your focus on the customers and their requirements as a whole.

Despite being the zeitgeist, there are a lot of issues with lean application. As a result, many companies fail to produce great results.
