With the rise of digital technologies, businesses across sectors are changing or tweaking how they strategize and operate to keep up with evolving consumer demands and needs. The department that needs to adapt the most and at pace, is the Information Technology (IT) division.

This is where all the action is and has been for the past three decades or so. A brilliant, pulsating IT department of your business can help you prepare for negotiating the inevitable crests and troughs of business.

The IT changes can be as simple as moving collaborative apps to the cloud for better streamlining business functioning or adopting new technology for a better consumer experience. Every tweak, however, comes with administrative challenges. Failure to execute when required and being in sync with the times can hamper your organization’s progress and competitiveness.

For example, Hershey’s, one of the world’s major chocolate producers, attempted Enterprise Resource Planning (ERP) implementation and spent a lot of money on it. During their go-live part of the process, however, they found that they could not process approximately $100 million worth of orders for Hershey’s Kisses Chocolate and Jolly Ranchers.

Later, a post-mortem of the goof-up showed that Hershey’s problem stemmed from its haste in wanting to implement the ERP in an unreasonably short period of time. Another major mistake that Hershey's made was that it decided to go live with ERP during a busy holiday season when customers buy chocolates in bulk for Christmas and Halloween.

It was the classic example of a change and risk planning and implementation plan that was not well thought out, or if it was, the risks were not covered. The learning is that managing risks and preparing for change is essential before implementing anything or being prepared for unexpected roadblocks or consequences.

The deployment of ITIL change management avoids such instances of business mismanagement. It helps you manage organization-wide upgrades and offers a process for an efficient rolling out of change. Critically, the rest of the organization is not affected much.

FAQs on ITIL Change Management

What are the types of variations in Change Management ITIL?

In this niche domain of Change Management ITIL, there are four variations as seen through the lens of risk and impact. These are:

Major Change A major change implies high risk and consequence. It may upset manufacturing schdules and live environment, if not handled well. A major change evaluation helps in firming up a view on transition and see if any necessary approvals are pending.

Minor Change Referred to as non-trivial changes, a minor change is low-risk and less impactful. These changes include all aspects of the change management lifecycle since they don't take place very often. Minor changes must never be taken lightly, despite their low risk and impact.

Standard Change Although these changes are small and low-risk, they follow a set schedule with well-defined procedures. These require little effort to approve and implement on the part of the business, per se.

Emergency Change An emergency change is a sudden disruption that demands a fast remedy, regardless of the type of ITIL change. Handling this rapid change might require changes in the lifecycle of the broader CHANGE

What is the change management process flow?

An ideal change management process includes:

  1. Create & Log the Request for Change (RFC)
  2. Review Request for Change (RFC)
  3. Evaluate the Change
  4. Approve/Authorize the Change
  5. Coordinate Implementation
  6. Review and Close Change Request

What are the best practices for adopting and implementing change management?

Change Management is a complex process that is difficult to implement, but it is essential for any ITIL project. The best activities for adopting and implementing it are:

1) Build a business case Share the purpose and benefits of a change management process with all the stakeholders

2) Define change for your organization  Define the types and criteria for each type of change you will handle.

3) Define key roles and responsibilities Assign roles and responsibilities to everyone involved with the change management process, including the Change Manager, CAB members, and executive sponsors.

4) Design your Change Management processes  Design a process that can be implemented as part of your ITSM solution for automated management.

5) Define your key performance indicators (KPIs)  Identify metrics that are most important to your business stakeholders. Use these to show progress and improvement.

6) Implement continual service improvement

Audit or review performance on a regular basis and make improvements to ensure operational efficiency.

7) Understand your risk tolerance levels - The success of change management within an organization can depend on factors such as the maturity of the change management process or the governance model the organization follows.

What are the benefits of ITIL of Change Management?

The change management process has benefits for both businesses and end-users, such as:

  • Improved alignment of IT services
  • Increased visibility and communication of changes to stakeholders
